Overview:
We’re seeking an experienced and highly professional Executive Operations Partner to support a senior-level Human Resources executive within a dynamic healthcare organization. This critical role will serve as the right hand to the HR leader, handling a broad range of high-level administrative responsibilities and confidential matters with discretion and efficiency.
What You’ll Do:
Manage high-level executive communications including email, phone, and written correspondence
Coordinate calendar activities, meetings, and events, including internal and external engagements
Handle expense reporting and invoice tracking with attention to detail and timeliness
Support recognition and award programs that celebrate employees and reinforce a positive culture
Plan and execute team meetings, events, and other special projects
Additional Responsibilities:
Serve as gatekeeper and liaison for the executive, prioritizing requests and managing access
Monitor and organize incoming mail, highlighting key priorities
Prepare agendas, meeting materials, and accurate meeting minutes
Draft communications and reports on behalf of the executive
Maintain organized filing systems (physical and digital) for correspondence, contracts, and committee work
Arrange travel and lodging, manage itineraries, and maintain accurate travel records
Oversee supply procurement and equipment coordination, including purchase tracking and inventory
Who You Are:
A proactive, resourceful, and discreet professional with a high level of integrity
A confident communicator with strong writing, verbal, and interpersonal skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Comfortable juggling multiple priorities and working both independently and collaboratively
Qualifications:
Required:
Associate’s Degree in Administrative Support, Business, or related field and a minimum of 3 years’ experience supporting executive leadership,
OR
5 years of executive-level administrative experience
OR
Bachelor’s Degree in a related field (e.g., Human Resources, Business Administration, Communications)
Preferred:
Experience in healthcare or hospital settings
Prior experience supporting a C-level or senior executive in a fast-paced environment
Job Type: Full-time
Pay: $25.25 - $37.75 per hour
Schedule:
8-hour shift
Day shift
